Nick, if you haven't rented before allow me to give you some advice..... Set up a pay-pal account and collect the money (or at least a sizable deposit) well in advance to guarantee a spot. Money should be non-refundable. If you can no longer attend, it's the participant's responsibility to find another driver or lose the money. A ton of people will tell you that they're "in" until 3 days before the event and then it's "my dog is sick, my wife won't let me go, I lost my virginity and have to look for it, etc, etc, etc."
I lost money on almost every rental I put together because of people backing out so just protect yourself by asking for money up front. It's not that people are "bad" or try to intentionally screw you but if it isn't their money on the line they don't care as much.
